General Data Protection Regulations

Information for Parents outlining how Our Lady of Lourdes Catholic Primary School is complying with the new regulations for data protection.

All organisations must have a legal basis for processing your personal information or your child's personal data. You can give consent for yourself or your child if they are under the age of 13.

The General Data Protection Regulation (GDPR) May 2018 explains that:

"Consent must be a freely given, specific, informed and an unambiguous indication of your wishes. There must be a clear affirmative action showing your consent. Also, consent can be removed, however, there may be another legal basis for processing your personal data".

 

At Our Lady of Lourdes Catholic Primary & Nursery  School, we use the following data processing systems:

  • General Use School staff use a variety of applications and hardware which will include the use of personal information captured through any of the applications mentioned on this webpage. These include the school's website, email accounts, Twitter feed as well as staff's laptop computers, iPads, classroom desktop computers and portable storage devices.
  • SIMS.net This is our schools main ‘Management Information System’ and contains the information gathered from parents following the completion of our paper-based application form. The SIMs.net database is added to throughout the year with attendance and assessment information. As required by law, information held on SIMs.net is shared with the Department for Education (and it’s agencies such as the Standards and Testing Agency) as well as the Local Education Authority (Lancashire County Council) and Health Services (such as the school Nursing Team). Information is also shared with departing/receiving schools when children transfer. This transfer of information is undertaken using the DfE’s secure “S2S” system. Information is held on SIMs.net indefinitely at present, but this is under review.
  • teachers2parents This is our school “texting” service and allows us to communicate with you using SMS. Information on T2P is captured from SIMs.net (using the information provided by parents on our paper application form). Your personal information is removed from T2P once your child leaves our school.
  • iTRACKPrimary This is an online application which we have subscribed to in order to allow us to process, analyse and monitor the assessment information held on your child. This application also allows teachers to write and produce end of year reports for each child. Information used within iTrack is captured from SIMs.net (using the information provided by parents on our paper application form). Your child’s assessment information is held in our system for three years after they leave us (or is removed if they transfer primary school).
  • CPOMS (Child protection Online Monitoring System) The CPOMS system is used to record incidents involving your child (such as behaviour incidents, first aid, SEND). We also use CPOMS to store the information you share with us (eg letters from home are scanned to the system). Information held on CPOMS may be transferred to other schools (if a child moves schools) if the receiving school also uses the application. Information on CPOMS is captured from SIMs.net (and added to throughout the year as described). CPOMs information is removed from our system once a child leaves our school.
  • 2simple 2simple is a programme used by our EYFS staff to record assessment information about children in Reception. This application allows teachers to record evidence about each child's progress in school. Often this evidence is in the form of pictures taken of children working. Assessment information held in 2simple is printed out for inclusion in 'Learning Journeys' which are shared with parents throughout the year. Information on 2simple is captured from SIMs.net (and added to throughout the year as described). Information held on 2simple is held until a child leaves our school.
  • Evolve Evolve is an electronic planning and tracking tool which we use for Educational Visits (school trips). This application allows us to record the planning for school trips (eg risk assessments, itineraries etc.). Information on Evolve is populated using information provided to us by parents and, dependent on the type of visit, data is shared with the Local Authority. Information is held on Evolve indefinitely as this allows us to build up a portfolio of good quality trip information (but this is currently under review).
